The availability of this update will be blatantly apparent when you first login to your website’s administrator.

We setup many clients of Opuscule with Google’s free applications, which include free Email, Calendar, Docs and more. Google is the leader in providing competitive web services that can help your business and many people don’t take full advantage of their offerings. Most clients just use the email services, but we can also set you up with their powerful calendar and documents application.
Using the popular gmail interface, Opuscule has setup your domain to send and receive email. We have created a shortcut to your email account < mail.yourdomain.com > this is easy to remember if you think, instead of typing in the “www” replace that with “mail” – You will be prompted to enter your email account name and password, provide by Opuscule. Your first login will ask you to accept the terms of use and create a new password.
Those familiar with gmail’s interface will be right at home. The new page looks like gmail, but is your own email account from your domain. Those unfamiliar with gmail will notice the streamlined and flexible email capabilities. The gmail interface works on conversations and labels. You should find a descriptive email in your inbox when you first login, as well as a welcome message!

Your new email account is FREE, includes 7.4GB of space, is incredibly secure, runs off the power of Google, and includes both POP3 and IMAP; systems used for accessing email on other devices, such as your: iPhone, Blackberry, Outlook, Mac Mail, Thunderbird, etc.
Yahoo’s business email account runs through AT&T and costs upwards of $100/year with many restrictions and they don’t offer IMAP
Godaddy’s email accounts offer IMAP and 10 accounts with unlimited space for $2.50/month.
– What is IMAP? -
I always stress the importance of IMAP as a feature of email handling. If someone writes an email to you@yourdomain.com – it will appear on your email page. If you have your iPhone setup too, it will appear there too. And if you’re using Outlook, it’ll be there as well. If you read through that email and delete it on your iPhone, IMAP will delete it everywhere else. POP3 is the older alternative and it just pushes the email to all your devices. POP3 makes you delete the email in each place, over and over again.
– How Do I Setup My Devices? -
Most importantly you need to navigate to your email, then click on “settings.” You will find a tab there that says “Forwarding and POP/IMAP.” Click on that and “Enable IMAP” – the rest of the steps are particular to your device or unit, but you can find a pretty good tutorial here. Each email account holder has access to their own individual calendar that they can update and share with others, as editors and/or viewers. The calendar data is held on Google’s cloud of databases and can be accessed anywhere you have an internet connection. This feature is particularly beneficial for smaller size offices.
Let’s take a lawyer’s office for example: the receptionist takes a phone call about a new client who wants to come in on Wednesday. They can pull up the calendar and see that Wednesday afternoon is open. They patch the call into the legal assistant who further speaks with the potential client and books the appointment. Meanwhile, the attorney is on their cell phone scheduling their luncheon with the mayor and they see the appointment added in real time, no delay; it’s a shared calendar!
This calendar can also be embedded on a website or blog and will update automatically. One of Opuscule’s clients is a magician and he uses the calendar function to keep his schedule straight and let people know where he will be performing.
Each email user can also access the Docs, or Documents, function of Google’s Apps. This allows for people to create and share documents with the same power of Microsoft Word, Excel, PowerPoint and more. Let’s go back to the lawyer’s office example.
The receptionist starts a new Doc and names it with the client’s name, “John Smith.” They write that the call came in, and on what date and time, and save the document. Then they SHARE it with everyone else at the office so they all can view and make changes. The legal assistant logs in and records their conversation and saves. The attorney can view this in real time, too!
Let’s say the attorney meets with them and decides to sign them as a client. They can makes notes as to their conversation and billing information that the bookkeeper can record right from the document. This can save hundreds of wasted paper copies and will help eliminate errors in communication and billing.
All in all, Google has many powerful resources at your disposal. If you choose to take advantage of them they can be very helpful.
